CPSO - Registration Committee Specialist
1 contract - start asap & 1 contract - start early 2025
Responsibilities:
- Manage all aspects of the member specific issues requiring Registration Committee review
- Ensure timely and accurate review of registration cases from credentialing to completion of the decision
- Review applications to determine accuracy of information submitted by the applicant and identify any deficiencies
- Prepare written correspondence to applicants requesting additional information and advise them of their registration options
- Prepare written correspondence to sponsoring organizations requesting additional information to complete/enhance the submission
- Identify problematic issues for follow-up and obtain direction when appropriate
- Compose executive summaries of cases for Registration Committee review and propose options for decision making
- Inform applicants of the Registration Committee Decision following the meeting
- Writes decision letters/Decisions with Reasons
- Prepares undertakings regarding practice restrictions and remediation activities; prepares notices regarding terms, conditions, limitations
- Works with staff and members of the Committees to obtain, clarify, or confirm information in order to draft timely and accurate decisions
- Contributes to the development of policies and procedures related to the program area
- Attend Registration Committee meetings, present cases, participate in discussion and take notes
- Compiles daily and monthly statistics and completes special projects as required
- Respond to telephone inquiries regarding Registration Committee decisions
- Communicate with medical schools, other licensing authorities, national certifying organizations and the US State Boards to obtain additional information
- Compile aggregate data and reports on physician-specific matters to the Manager and Committees
- Establish processes and bring forward system to ensure that Committee decisions are implemented in a timely and effective manner and in compliance with the relevant sections of the RHPA, the Code and the Regulations
- Act as a subject matter expert on enterprise projects
Qualifications:
- Post-Secondary education required
- Excellent written and verbal communication skills
- Proven organization skills with demonstrated planning experience and ability to achieve objectives
- Excellent skills in analysing problems and identifying creative solutions
- Ability to interpret regulatory language; prior knowledge of Registration regulations under the Regulated Health Professions Act, an asset
- Demonstrated presentation skills
- Proficient computer skills with proficiency in Microsoft Office applications
- Flexible attitude and ability to work effectively in a team environment
- Demonstrated ability to work in a fast paced environment, establish priorities and meet deadlines
- Note: It is a fundamental requirement of employment at CPSO that employees reside in Ontario and can attend the College office as required. Must be able to provide proof of double vaccination.
Work environment: Hybrid, remote work with in-office attendance one day per week and/or more as needed.

Advisor (1 year contract)
The College of Physicians and Surgeons of Ontario (CPSO) is seeking a dynamic and professional Advisor to work in their Registration & Membership Services Department. Advisors are a critical part of the team, they act as the information and communication center for applicants, members, and stakeholders. They provide guidance relating to College policies surrounding practice management and Registration, Ontario regulations governing licensure, various legislative acts, and other organizational processes across the division. Advisors are also responsible for conducting preliminary assessments of physician credentials to determine licensure eligibility.
Responsibilities:
- Responds to membership and registration inquiries by telephone or in writing from physicians, applicants, medical schools and other stakeholders
- Provides physician advisory services pertaining to practice management related matters by clarifying health care regulations, policies, and guidelines
- Conducts preliminary assessments of qualifications to determine eligibility for College registration, including change of scope and re-entry requirements
- Drafts written correspondence to physicians and applicants outlining applicable registration options, while referencing regulations and registration policies
- Generates customized application packages for eligible physicians
- Screens physician member profiles to identify alerts and registration history
- Offers information on membership services such as Medicine Professional Corporations, Certificates of Professional Conduct (CPCs), resignations, and other service requests
- Facilitates information sessions for internal and external stakeholders
- Maintains correspondence templates, resource documents and internal reference guides to align with current processes and procedures
- Performs added duties and assists other department units where required
Qualifications:
- Relevant post-secondary education and/or equivalent working experience
- High degree of professionalism, initiative, self-motivation and independence in carrying out tasks
- Experience working in a regulatory environment would be considered an asset
- Excellent client service and communication skills, both oral and written
- Excellent organization and time-management skills
- Proven ability to multi-task, problem solve and manage heavy volumes of detail-oriented work
- Excellent autonomy skills, diplomacy and resourcefulness
- Flexible attitude; able to adapt to change and thrive in a fast-paced, team-oriented work environment
- Proficient computer and typing skills with proficiency in Office365
- Knowledge of Healthcare Legislation, including CPSO regulations and policies, with the ability to interpret and apply information effectively
- Knowledge of other College functions including complaints, discipline, quality management, an asset
- Flexibility to work overtime during peak periods and perform special assignments/duties as assigned
- An understanding of equity, diversity and inclusion principles and their applications
- Fluency in French, an asset
- Please note that vacation is not permitted from June 1 to July 15.
